This Privacy Policy describes how Stratos AI ("we", "us", or "our") collects, uses, and handles your information when you use our tools and services available at stratosai.au and stratosai.com.au (collectively, "the Services").

By using the Services, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect information you provide directly when using our tools:

• Input data: Notes, property details, client information, or other content you type into our tools to generate outputs.
• Account information: Email address and password when you create an account on paid tools (Ephara, Kairos, Provara).
• Usage data: Information about how you interact with the Services, including pages visited, features used, and time spent.
• Contact information: Name, email address, or message content if you contact us directly.

Our free tool Nomen does not require an account or login and does not collect personal information beyond what is necessary to generate your requested output.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Services
• Process your inputs and generate requested outputs
• Manage your account and authenticate your identity
• Respond to your enquiries and provide customer support
• Send service-related communications (account updates, security notices)
• Monitor and analyse usage patterns to improve tool performance

3. How We Do Not Use Your Information

We are committed to the following:

• We do not sell your data to third parties under any circumstances.
• We do not use your input data to train AI models. The content you enter into our tools is used solely to generate your requested output and is not retained or used for any other purpose.
• We do not share your client information with any third party without your explicit consent, except as required by law.
• We do not send marketing emails without your explicit opt-in.

4. Data Storage and Security

Your account data and generation history (for paid tools) is stored securely using Supabase, a SOC 2 compliant database platform. All data is encrypted in transit using TLS and encrypted at rest.

We take reasonable technical and organisational measures to protect your information against unauthorised access, loss, or disclosure. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your account information and generation history for as long as your account is active. If you cancel your subscription, your data is retained for 30 days and then permanently deleted unless you request earlier deletion.

For Nomen (free, no account), no data is retained after your session ends.

6. Third-Party Services

Our Services use the following third-party providers:

• Anthropic (Claude API): Used to process your inputs and generate outputs. Anthropic processes inputs in accordance with their API data usage policies.
• Supabase: Used for secure database storage and user authentication on paid tools.
• Hostinger: Used for web hosting and server infrastructure.

We encourage you to review the privacy policies of these providers for more information about how they handle data.

7. Cookies

We use minimal cookies necessary for the operation of the Services, including session authentication cookies for logged-in users. We do not use advertising or tracking cookies. You can control cookie settings through your browser settings.

8. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Withdraw consent for optional data processing
• Lodge a complaint with the relevant privacy authority

Our Services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

We may update this Privacy Policy from time to time. We will notify registered users of any material changes by email. The updated policy will be posted on this page with a revised "Last updated" date. Continued use of the Services after changes constitutes acceptance of the updated policy.
